The Operations Executive plays a critical role in the efficient allocation of resources and assets to ensure seamless operations across tours, safaris, and events. This includes assigning safari guides, tour guides, F&B personnel, and external manpower as required, while optimizing asset utilization. A key responsibility is ensuring the right guides are matched to VIP tours and MICE groups, considering specific requirements such as language, expertise, and customer profile. The Operations Executive ensures that all resources are deployed effectively, keeping operational costs low while maintaining the highest standards of service. This position is essential in ensuring smooth coordination and delivery of exceptional guest experiences.
Job Scope:
Resource Allocation
Assign assets (vehicles, buggies, equipment) and resources (guides, F&B personnel) to tours and safaris.
Ensure resource assignments meet operational needs, including specific requirements for VIP and MICE group tours.
Coordinate with external manpower providers to cover operational gaps.
MICE and VIP Coordination
Select and assign the most suitable guides and personnel for VIP and MICE group tours.
Tailor assignments to meet group-specific needs, such as language, expertise, or special requests.
Asset Optimization
Monitor and ensure the optimal utilization of assets, including vehicles and equipment.
Analyze utilization data and adjust assignments to maximize efficiency.
Communication and Coordination
Serve as the central point of contact between operations, guides, and external personnel.
Communicate assignments clearly to all stakeholders and resolve allocation-related issues promptly.
Reporting and Monitoring
Maintain detailed records of resource and asset assignments.
Provide regular reports on resource utilization and identify opportunities for improvement.
The Ideal Candidate should have:
Bachelor’s degree or diploma in Operations, Logistics, or a related field.
2+ years of experience in resource or operations coordination, preferably in tourism or hospitality.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in scheduling and allocation software or tools.
Analytical mindset with attention to detail.
Experience working with MICE groups or VIP clientele.
Knowledge of asset management and optimization techniques.
Multilingual abilities in [Insert Relevant Languages].
