About the job

Key Responsibilities:

  • Office Operations Management: Ensure smooth day-to-day operations by managing office supplies, equipment, and vendor relationships.
  • Administrative Support: Provide administrative support to leadership, including scheduling meetings, managing calendars, and coordinating events.
  • Team Coordination: Facilitate communication and collaboration across departments, helping to maintain a positive and efficient work environment.
  • Facilities Management: Oversee office space, ensuring cleanliness, functionality, and a comfortable workspace for all employees.
  • Event Planning: Organize team events, workshops, and offsite activities to boost team morale and engagement.
  • HR Assistance: Collaborate with HR on employee onboarding, maintaining employee records, and ensuring compliance with company policies.
  • Budgeting & Finance Support: Assist in managing office-related expenses, including handling petty cash, processing invoices, and liaising with the finance team.
  • Health & Safety: Ensure the office complies with health and safety regulations, managing emergency protocols, and first aid supplies.
  • IT Coordination: Serve as a liaison between staff and IT support to resolve technical issues quickly and efficiently.
     

Qualifications:

  • Proven experience as an Office Manager, Administrative Assistant, or similar role, preferably in a startup or fast-paced environment.
  • Excellent organisational and multitasking abilities, with strong attention to detail.
  • Strong interpersonal and communication skills to interact with team members and external vendors.
  • Proficiency with office management tools (e.g., Microsoft Office, Google Workspace, Slack).
  • Ability to prioritize and handle multiple tasks under tight deadlines.
  • Flexibility and a proactive approach to problem-solving.
  • Familiarity with basic accounting principles and office budgeting.
