Responsibilities

  • Diary Management, complete oversight and full management of diary, including forward planning and in depth diary sweep.
  • Email Management, complete inbox management, reviewing, sorting, actioning and filing. Responding to any emails where possible and sending emails on behalf of Executive.
  • Travel Management, complete all domestic travel bookings (International if required) Looking ahead, ensuring it is in line with company policy.
  • Expense Management, full management of expenses, ensuring they are completed on time and in line with company policy.
  • Meeting arrangements, liaising with all parties (Internal and external) to agree dates, timings and venues. Organising room bookings across SLA offices/external venues including catering, video conferences, WebEx’s etc.
  • Acting as first point of contact for Executive dealing with emails/phone calls/general queries where appropriate
  • Ensure Executive is well prepared for all key meetings
  • Reminding Executive of important tasks/deadlines
  • Producing and sending Comms on behalf of Executive to ensure teams are kept up to date with any company announcements, deadlines etc. Our benefits
  • Setting up monthly townhalls with comms/sending invites from Adviser Business mailbox
  • Producing team meeting agendas, papers and any other relevant documents as and when required
  • Attending weekly calls/meetings and taking actions and meetings notes as and when required
  • Purchase orders, raising and dealing with any purchase orders, ensuring they are in line with company policy
  • Approval of purchase orders, holidays, service now requests, travel bookings for team members on behalf of Executive
  • Working with Marketing and events team/conference care on behalf of Executive to organise, events, lunches, dinners. Maintaining oversight to ensure all activities are co-ordinated in a timely and accurate manner
  • Working with events team/Executives team members to ensure all staff R&R is organised and dealt with accordingly.
  • Complete any ad-hoc requests from Executive.
  • Work closely with other business functions on behalf of Executive.
  • To establish, maintain and enhance productive working relationships with all internal and external customers.
  • Active involvement in any relevant projects as and when required.
  • Provide cover for colleagues during times of absence/holidays.Role.
     

Role Specific Skills And Knowledge
 

  • Proven track record in EA/PA role previously Discretion and trustworthiness
  • Excellent communication and organisational skills
  • Ability to anticipate Executives workload and prioritise in order to actively prioritise your own workload to ensure best use of time
  • Preference for action, takes ownership for work and will see things through
  • Attention to detail, takes thorough approach. Checks work and ensures accuracy
  • Responsibility, demonstrates strong work ethic and initiative. Looks for opportunities to create value and think outside the box
  • Good working knowledge of Microsoft packages
