Job Description
This is a client-facing role with additional focus on back-end, infrastructure support and operation of audio-visual equipment and systems. This role will be a blend of facilities operations, reception, admin and event operations. High customer service and basic a/v technical event experience are two essential components to this position. The ideal candidate engages clients and assists them, preparing and executing the a/v for meetings and events in a diversity of workplace settings.
You will work with internal and external contacts to manage logistics and production for physical and virtual events. You’ll act as the primary point of contact on the day of the event and run technical operations as needed throughout the event. Our shared goal is for events to run smoothly, and with a positive client experience. On non-event days, you will work closely with team leaders, managers, maintenance team, mailroom, security team, and building/office services contractors to support locations with logistics, coordination, and delivery of excellent day-to-day building and work experience-related services.
Here You’ll Get To
- Oversee day to day a/v and facilities responsibilities, encompassing reception coverage, office maintenance, mail room, office supplies, seating assignments, security and more.
- Liaise with the central WPX team as part of the global WPX structure and ensure KPIs are being met.
- Liaise with the building management team for Facilities and Security issues.
- Assist with the onboarding and offboarding process for employees/contractors on an ongoing basis.
- Coordinate and conduct hospitality tours for new employees.
- Coordinate with vendors and building management on building access during and after hours /or weekends.
- Assist with executive meetings, including, but not limited to, ordering food & amp; beverages, supplies, room setup, etc.
- Become a member of the Health & Safety committee
- Assist with furniture moves (some lifting required, must be able to lift up to 50 lbs.), repairs, and installations of equipment throughout the workplace as needed.
- Create templates and drafts for Office Services messages for office-wide distribution.
- Monitor and address Facilities’ and Security Service Now tickets, Facilities hotline and email accounts.
- Based on property inspections, provide recommendations for improvements, identify deficiencies, and ensure corrective actions are implemented.
- Operate technical equipment through live events and performances
- Assist in creating a Run of Show and Production Schedule with detailed timings from load in to loadout.
- Guide and manage freelance technical crew such as live streaming technicians, FOH operators, lighting technicians, stagehands, etc.
- Coordinate with artist teams on band instrumentation and equipment needs.
- Communicate information and timelines to talent, record labels and corporate teams.
- Ensure the show starts on time and the day runs smoothly.
- Manage physical equipment and in-house technical systems.
- Review invoices for accuracy. Process and ensure timely payment.
- Maintain VIP rooms and other designated rooms by ensuring necessary amenities are provided.
- Monitor and assist, when necessary, in greeting and registering VIP guests/visitors.
- Special projects as assigned by leaders.
About You
- Prepared to work onsite daily in Toronto office
- Minimum two years of college education with 2-4 years of corporate workplace/event experience.
- Ability to multitask; prioritize; be able to work as a team player.
- Computer skills including Word, Excel, PowerPoint.
- You will be scheduled to work Monday thru Friday from 9:00 am - 5:30 pm but require flexibility on short notice as required for special events and artist bookings.
- You are independent, proactive, flexible, with the ability to collaborate across functions.
- You exhibit an enthusiastic, can-do attitude and approach.
- You have working knowledge of industry standard audio software such as Pro Tools and Logic.
- You are self-directed and have strong organizational and problem-solving skills, with the ability to lead and execute in an efficient and timely manner.
- You have familiarity with building management procedures.
- You have the ability to lift up to 50 lbs.
- Willingness to roll up your sleeves and participate in facilities operations activities like moving furniture or stocking supplies.

- Bachelor’s degree from an accredited university/college.
- Hospitality experience
- Project management experience
- Experience in the entertainment industry
- Experience in facilities operations
- 2-3 Years A/V Technician experience working in a professional environment.
- Understanding A/V signal flow.
- Knowledge of audio consoles and video racks.
- Basic understanding of adjusting lighting and speaker placement.
- Perform network, audio, and video cable repair as needed.
