Job Overview:

This is a full-time on-site role for a Front Desk Administrator for our co-working space/business center in Dubai, United Arab Emirates. The Front Desk Administrator will be responsible for receptionist duties, customer service, communication, and administrative assistance.

Job Description:

  • Greeting guests and visitors with a positive, helpful attitude and always ensuring to maintain a high standard welcoming atmosphere.
  • Assisting guests and visitors in finding their way around the building and informing the concerned team member when the guests arrive.
  • Helping and maintaining the workplace security by issuing, checking, and collecting necessary visitor logs.
  • Assisting and maintaining variety of administrative tasks including copying, scanning and uploading of clients’ documents in shared folder.
  • Managing the booking of the meeting rooms, pod rooms, and board room.
  • Answering phones in a professional manner and routing calls to the concerned department/colleague.
  • Managing the entrance door to ensure authorized individuals are located to the designated waiting area.
  • Ensuring to follow the Standard Operating Procedures (SOP) set by the company.
  • Other roles and responsibilities to be assigned by the Managing Director.

Requirements and Qualification:

  • Diploma or Bachelor’s degree in Administration, business management, hospitality or a related field.
  • 3 years’ proven experience in a receptionist, front desk, customer service or administration role.
  • Worked in a co-working space or business center or shared offices.
  • Proficient with Microsoft Office, Word, and Excel.
  • Good knowledge of client facing and administration procedures.
  • Brilliant oral and written communication skills.
  • Highly-analytical with strong attention to detail.
  • Excellent in English and Arabic is a plus.
  • Must be able to effectively multi-task, manage time-sensitive documents and have exceptional organizational skills in a fast-paced environment.
